Teams Calling: Delegate Access

How To:

  • Set Delegate Access and use it for Teams Calls

Applies To:

  • Those on Teams Calling that need to answer calls for someone else

Steps:

  • Request Delegate Access: Work with your supervisor to have you assigned as a delegate in Teams. This allows you to make and receive calls on their behalf.

    • They can do this in Teams by going to ... > Settings > Calls> Manage Delegates, and Add the name of the delegate.

    • The delegate will receive a notification that they have been added

  • Set Up Call Forwarding: Once added as a delegate, customize call answer rules in Teams to forward calls to you if your supervisor isn't available:

    • Open Settings in Teams.
    • Navigate to Calls > Call handling and forwarding.
    • Under the "When you can't answer a call" section, set the option to forward calls to you or to another specified number after a chosen number of rings.

  • Customizing Notifications and Call Controls: As a delegate, you’ll receive notifications for calls made to your supervisor.

    • Customize your notifications in Settings > Notifications to ensure you’re alerted to any incoming calls promptly.

  • Practice Call Handling: To ensure a smooth experience, practice handling calls on behalf of your supervisor. You might set up a test call to confirm the forwarding settings and familiarize yourself with managing calls in this role.
