Teams Calling: Cisco Phone Guide

How To:

  •  Use your Cisco Phone for Teams Calling

Applies To:

  • Front desk shared phones. These phones have been configured by IT to work with Teams Calling. AKA CAP Phones (Common Area Phones)

Steps:

Your phone is now setup with your Teams account...

You can refer to the image below for a quick start guide to the different buttons and their functions.

1.) Voicemail:

The red light on this phone will still inform you of any voicemails you have.

Pressing the voicemail button will ring your Voicemail menu so you can check for messages:

  • Press "1" to view messages.
  • Press "2" to change your greeting.
  • Press "0" to repeat this menu
  • or Press "*" to exit

2.) Settings

From the Settings Menu you can navigate through several different menus. They are listed below:

  • Recents:
    • In the Recents section you can view All Calls, Missed Calls, Received Calls, or Placed Calls.
  • Speed Dials
    • Speed Dials can be set with contacts you have already made or can be set with number 2-9
  • User Preferences
    • This is where Call forwarding can be configured (if enabled)
    • Voicemail box code can be changed here.
    • Other settings related to Calling can also be set here such as Caller ID information.
  • Other options such as: Network Configuration, Device Administration, and Status are used only by IT. These menus contain buttons not intended for end users to interact with. Tampering with these settings may cause your phone to not function properly.

3.) Directory

The Directory button will bring you to two menus:

  • The Personal Address Book:
    • Contacts can be created here for your personal address book. 
  • All Directories:
    • There are no contacts displayed here at this time. Some features are not functional on these Cisco devices.

Note: 

In order to get you more familiar with the phone and its features we have defined the four lower buttons (below the screen on the physical phone) as "Softkey buttons". These buttons are used to make selections on the screen and are used to complete a series of functions depending on its location on screen.

A lot of the navigation of the phone can be done using the blue wheel for up and down motion while the softkey buttons allow you to select items on the physical phone screen.


4.) Other Notes:

  • Do Not Disturb can be enabled by clicking the softkey for "DND" and typing *30*(This setting can be disabled by IT upon request).
  • You can instantly redial phone numbers by pressing  the "Redial" softkey. 
  • You can view recent phone calls by pressing the "Recents" softkey.
  • Call Forwarding is Disabled by Default for CAP lines however it may be enabled by IT upon request. It can then be turned on in the same fashion as "Do not Disturb".

Making Calls:

To dial phone numbers you only need to dial the area code and phone number or the users extension. There is no longer a need to dial 9 or 1 to dial outside of the university.

Answering Calls:

To answer an incoming call you can click the speaker button or pickup the handset.

Transferring Calls:

  •  How to Cold Transfer:

While on the phone with a user you can select the transfer softkey button, or the Transfer button the on the phone.

Then select the "More" softkey button.

On this page there is a button called "BlindXfer" which means to Blind transfer. Selecting the button allows you to transfer the call to the user without speaking with them before hand. 

Dial the users number.

You can now press "End Call" and hang up the phone.

 

  • How Warm Transfer:

While on the phone with a user you can select the transfer softkey button, or the Transfer button the on the phone.

You can now dial the users number and press "Call" to begin dialing the number. 

Once the user picks up their phone you can select "End Call" to end the call with the user if they do not pick up or press "transfer" to transfer the call.

After transferring the call the phone call will end.
