Teams Calling: Yealink Phone Guide

How To:

  • Use the Teams Yealink Phone (physical phone)

  • ESU Staff and Faculty who have an assigned Teams Yealink physical phone

This Article will cover the basics of using your Teams phone for the first time. You can click the links below to view documentation for each item.

 


First time Sign-in:

Once your phone has been setup you will need to sign into your device. You will likely see a screen similar to this:

Menu Navigation

From here you can select the different menus to do different things. 

Calls

After clicking on the "Calls" button you will get this screen.

  • From here you can your see Favorites which are contacts that you have saved as speed dials in your Teams app. Speed Dial contacts must be created in the Teams app on your computer. They cannot be created on the Teams phone. Once you create contacts in the app you can click the "retry" button to refresh the page.

  • Navigating to "Recents" will display all incoming and outgoing calls to your line and allow you to add any of those callers to your "Favorites/Speed Dial", call them or view their Teams profile (if the call was made directly to you and not a Call Queue).

Calendar

  • The Calendar button takes you to upcoming events in your Outlook Calendar and shows the participants in the metting. If the meeting exists as a virtual meeting you can use the video icon in the top right corner to join from your Teams phone to join using only audio.

  • You can view meetings for up to one week out.
  • You can also create new meetings by clicking the plus icon in the bottom right. 

Voicemail

  • When clicking on the Voicemail button you should see any voicemails that you have received. If no messages appear you do not have any voicemails.

  • Voicemails should appear transcibed. If you receive voicemails that are not transicribed it may because the voicemail could not be interpreted or transcibing is not turned on for your account. When clicking on "More" you can view the following features:

  • People: This sections allows you to view your different contacts.
    • All Contacts: These are contacts that have been made by you in Outlook.
    • Favorites: Not Applicable to End Users
    • Other Contacts: Not Applicable
    • Speed Dial: Speed Dial contacts
    • Tagged: Not Applicable
  • Queues: This section allows you to manually sign-in or sign-out of any Call Queues you are a member of or own.
  • Walkie Talkie: This app functions like a voice chat for any Teams you are apart of however Phone calls and Video calls are a more efficent mode of communication. 
  • Line Keys: This app lets you create programmable buttons that allow you to manage calls more effeciently. You can setup buttons to access key calling features such as speed dials, call queues or delegated lines.

Many processes used with your old phone can be achieved using your new teams phones. Transferring calls, placing calls on hold, using mute, and speaker phone are still usable.

When dialing a number outside of the university you no longer need to dial the or the 1. Simply type the area code and phone number and your call will route to the caller. 


Answering Phone Calls:

You receive a screen like this when you get a phone call:

Transferring Phone Calls:

Now that you are on the phone you can click the transfer button to transfer the call to another phone number.

Uploaded Image (Thumbnail)After Clicking transfer you can either transfer the call immediately or speak with the user before transferring the call.

Uploaded Image (Thumbnail)If you click Transfer Now you will be prompted to enter the phone number to transfer to. If you do not know your party's extension you can also search by name using the on screen keyboard.

Note: After clicking the transfer button this screen will pop-up. You will need to click in the field in order to type the number. Not clicking in the box will attempt to dial another phone call while you are already on the phone.

After clicking on the desired contact you will be returned to your phone call.

If you selected Transfer Now you can now click end call and the transfer will continue to go through. 

If you decide to Consult first you can speak with the user and then click the blue transfer button in the top right corner of the screen.

Managing Delegates:

With these new phones you can add your own delegates to your phone so others can make or take calls on your behalf. 

From the main menu click on your profile

On this page you can type the name of the user who needs delegated access to your phone
