Equipment Check-Out Agreement

University Solutions Service Desk - Equipment Check-Out Agreement:

Eligibility: Current ESU students, faculty, and staff must present a valid ESU ID. Employees, faculty, and student employees must use their assigned ESU computer. Employees may receive a temporary loaner while an ESU computer is ordered or repaired.

Agreement: By checking out equipment, users agree to these terms and conditions

Checkout and Return Terms:

  • Students without a computer may check out a laptop for the semester, subject to Service Desk discretion and inventory. It is due by 5:00 PM on the last class day. Students may request an extension through their last final exam before the due date. Laptops must be returned during summer and winter breaks for maintenance.
  • Checkout is subject to availability and is not guaranteed. Users may check out one laptop; exceptions may be made for employees and student groups supporting an ESU event.
  • Only the named user may use the equipment unless advance arrangements are made with the Service Desk.
  • Return all equipment and accessories, including the bag and charger, to Cremer Hall 149 between 8:00 AM and 5:00 PM, Monday–Friday. Promptly report damage, problems, loss, or theft.
  • Students who drop all classes or are no longer enrolled must return the laptop, bag, and charger within 24 hours or pay full replacement cost. Departing employees and faculty must return equipment by 5:00 PM on their last business day.
  • Users may not install software or perform administrative tasks. Only vetted, ESU-approved software may be installed through a request submitted in the University Solutions Portal.

Late, Unreturned, or Missing Equipment:

  • Equipment is late after 5:00 PM on the due date. A $5 fee applies for each calendar day until return.
  • Late fees must be paid before another checkout. Repeated lateness or failure to respond may suspend checkout privileges.
  • The Service Desk will attempt daily contact. After five business days, the account may be sent to collections.
  • The user owes full replacement cost for unreturned, lost, or stolen equipment. Late fees still apply if equipment is later returned.
  • Contact the Service Desk with questions.

Damage, Fees, and Checkout Privileges:

Users are responsible for repair or replacement costs for damage, missing parts, or accessories not documented at checkout. Equipment has no accidental damage coverage; always transport laptops in the bag provided. The Service Desk may suspend checkout privileges for unpaid charges, repeated late returns, failure to return equipment, technology misuse, or damage.

Payment: Students may pay late, repair, or replacement charges by card at the Service Desk or have charges billed to their student account.
