Leadership Meeting Preparation:
- Schedule a weekly re-occurring calendar reminder on your calendar for every Tuesday (since Leadership meetings are on Wednesdays usually). This is just a reminder that’s helpful to me, so I remember to reach out and ask about the agenda or discussion items.
- Send either a Teams message or Email out to the Leadership group asking if anyone has topics or items for discussion to add to the Leadership Agenda.
- I like to prepare this as best as possible on Mondays so when we meet with Doug and the group on Tuesday it is mostly ready, and we can go through the agenda and add/remove discussion items if needed.
- Update the leadership agenda from the last meeting:
- Save As and create a new copy in the Leadership Folder while updating dates, times, anything that needs to be changed. Remove the notes, absences, and names under the discussion.
- Run the Change Management Report out of TDX by going to Tickets – under the Ticket Reports tab – click on Change Report For Greg and click the green button Run Report.
- Export this report to excel after running it.
- Columns needed for report: ID, Title, Requestor, Status, Resp Group, Prim Resp, Due (Week/Year), and Modified.
- Remove the Classification & Priority columns.
- Go in and sort by the Status column and delete any of the Closed projects where the ‘Due’ column is further than two weeks back. Do not delete any of the reports that still have a status of “In Process”.
- Under the Reminders/Upcoming Absences section:
- Check the Leadership Group’s calendars for upcoming absences and only document absences that are two weeks out:
- I usually check both calendar locations, so I don’t miss anything:
- The IT SharePoint calendar, you can find it using this link IT Calendar - Calendar (sharepoint.com)
- I also check Outlook calendars by using the Leadership group – scheduling assistant to double check I didn’t miss anything.
- Once the agenda is finalized, print 11 copies for Wednesday or whenever the leadership meeting is.
- You will want to have the agenda open to take notes on during the meeting so I would bring your laptop to the meeting.
