Creating or Modifying Signatures in Outlook

Steps:

Note: All university employees—including faculty, staff, and students—are required to use the approved email signature block without modifications, unless otherwise specified by the university. Athletics, Admissions, and Advising have designated alternate formats. All others should follow the guidelines and template available at this link.


How to make an Email Signature or modify an existing signature in the Outlook desktop app (Classic):

1. In the desktop app begin by clicking on "File".

2. Click "Options"

3. On the Outlook Options menu click "Mail" after click "Signatures"

4. On the Signatures and Stationery menu click "New". (To modify an existing signature go to step 6).

5. Enter a name for your Signature and click "Ok".

6. With the Signature name highlighted you can now begin making your signature or you can modify your signature in the text box below.

7. From this menu you can choose to have your signature placed on new messages as well as replies and forwards. After making your final changes select the "Save" button then click "Ok"


How to make a signature or modify an existing one in the Outlook desktop app (New):

Note: The web version of Outlook and the New Outlook are identical.

1. With Outlook open click the "Settings"⚙️ button in the top right corner.

2. In the "Settings" menu with the "Accounts" tab highlighted click "Signatures".

3. Click "New Signature"(To modify a signature skip to step 4).

4. After creating your new signature click "Save". You can modify your signature by selecting one using the drop down menu and editing the text in the text box where your signature displays.

Note: You can also select whether the signature will appear on new messages or on replies and forwards at the bottom of the page.


How to make an Email signature in the Outlook desktop app on Mac:

1. With the Outlook app open click "Outlook".

2.  Click "Settings".

3. Click "Signatures".

4. Click the "Add" symbol to create a new Signature or the "Edit" button to modify an existing one.

5. A new window will open where you can begin entering your signature.

6.  To save, close the window and you should be prompted to save your changes.

How to make a signature in the Outlook app on Mobile (Apple):

1. Open the Outlook Mobile app on your iPhone and click your profile.

2.  Click the "Settings" icon in the bottom left corner.

3. Click "Signatures".

4.  Tap in the Outlook signature box to begin editing the signature. When finished press the "Check".

Note: To include images in your signature they must be uploaded from the device. Images are not correctly transferred from the clipboard and can have issues when copying and pasting.


How to make a signature in the Outlook app on Mobile (Android):

1. Open the Outlook mobile app on your android device and click your profile.

4. Modify/Create your signature and once finished click the "Check".
